Please do not submit Social Security numbers, government identification numbers, medical information, account passwords, or other sensitive personal information unless we specifically request it through an appropriate secure process. Do not place confidential or regulated data in a general contact form.
2. How we use personal information
We may use personal information to:
- respond to inquiries and prepare estimates or quotes;
- create, proof, manufacture, fulfill, deliver, and support orders;
- communicate about artwork, approvals, schedules, payments, delivery, and customer service;
- process transactions, maintain business records, collect amounts owed, and prevent fraud;
- operate, secure, troubleshoot, and improve our website, systems, products, and services;
- measure website use, advertising performance, and campaign attribution;
- personalize content and advertise our services, subject to applicable choices and consent requirements;
- maintain customer and prospect relationships and send permitted business communications;
- protect our rights, property, customers, personnel, systems, and the public;
- comply with law, legal process, tax, accounting, insurance, and regulatory obligations; and
- carry out another purpose disclosed when information is collected or with your consent.
We may use information that has been aggregated or deidentified so that it cannot reasonably be linked to you. We will maintain deidentified information in deidentified form and will not attempt to reidentify it except as permitted by law.
4. How we disclose personal information
We may disclose personal information to the following categories of recipients for the purposes described in this Policy:
- Service providers and contractors, including our custom CRM providers and website hosting, cloud storage, file-transfer, communications, payment, accounting, fraud prevention, customer support, production, mailing, shipping, and professional-services providers;
- Communications and analytics partners, including Google and Twilio, for business email, calls and texts, analytics, attribution, and audience measurement, subject to applicable choices;
- Production and fulfillment partners, when needed to quote, manufacture, finish, mail, ship, or otherwise complete an order;
- Business customers and their representatives, when you interact with us on behalf of an organization or when necessary to administer that organization's account or order;
- Government authorities, courts, and other parties, when we reasonably believe disclosure is required or permitted by law, needed to respond to legal process, or appropriate to protect rights, safety, property, systems, or prevent fraud; and
- Parties to a business transaction, such as an actual or prospective purchaser, lender, insurer, investor, or adviser in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate safeguards.
We may also disclose information at your direction, with your consent, or as otherwise described when it is collected.
5. Advertising-related disclosures
We do not sell personal information for money. If we in the future use advertising pixels or similar technologies, that use may be treated under some state privacy laws as a “sale,” “sharing,” or use for “targeted advertising.” The categories potentially involved are identifiers, internet or electronic activity, commercial information, and related inferences. The recipients may include advertising and analytics partners.
We do not knowingly sell or share the personal information of persons under 16 years of age.
6. Communications, telephone calls, and text messages
If you give us a telephone number in connection with an inquiry, quote, order, delivery, or support request, you authorize United Printworks and its service providers to call or text that number regarding the request or transaction. Communications may include quote questions, proof or artwork issues, order status, scheduling, delivery, and customer support. Message frequency varies. Message and data rates may apply.
You may opt out of text messages at any time by replying STOP. You may request help by replying HELP or emailing hello@myupw.com. We will honor reasonable revocation requests as required by law. Opting out of texts does not prevent non-text communications necessary to service an order, and it does not affect communications already sent.
We do not use a request for a quote as consent to send unrelated recurring promotional texts. If we later offer an optional marketing-text program, we will request separate consent using a clear, unchecked disclosure. Consent to marketing texts will not be a condition of purchase.
You may unsubscribe from promotional emails using the unsubscribe link in the message or by contacting us. We may continue to send transactional or relationship messages, such as messages about an active quote, proof, payment, or order.
7. Customer files and mailing data
Printing projects may require us to receive artwork, photographs, mailing lists, recipient addresses, or other customer-provided data. We use that information to quote, proof, produce, mail, ship, and support the requested work and to maintain appropriate business records.
Unless we expressly agree otherwise in writing, our Services are not designed to process highly sensitive or specially regulated data. You are responsible for providing lawful instructions, obtaining necessary notices and permissions, and using an appropriate secure transfer method. We may use qualified vendors to perform production, mailing, delivery, storage, or related services.
8. Retention
We retain personal information only as reasonably necessary for the purposes described in this Policy, including providing services, maintaining customer and order history, resolving disputes, enforcing agreements, and satisfying legal, tax, accounting, security, and insurance requirements. Retention depends on the nature and sensitivity of the information, the business purpose, legal obligations, and risk.
Customer artwork and production files are ordinarily retained for 24 months after the relevant project's completion. Other records—including inquiries, quotes, contracts, invoices, payment and tax records, delivery records, correspondence, consent and opt-out records, and security logs—are retained for as long as reasonably necessary for the purpose for which they were collected and for applicable legal, accounting, tax, security, warranty, dispute-resolution, and records-management requirements. Mailing lists and recipient data are retained only as long as reasonably necessary to complete and document the requested mailing services, unless a longer period is required by contract or law.
We may retain information longer when reasonably required by litigation hold, dispute, investigation, contract, or law. Backup copies may persist for a limited period before being overwritten.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No transmission, storage system, or security measure is guaranteed to be completely secure. You are responsible for using secure methods when sending confidential files and for protecting any account credentials.
10. Your privacy rights and choices
Although United Printworks is not currently subject to the California Consumer Privacy Act, other applicable laws may provide privacy rights. Depending on the law that applies, you may have rights to:
- know or access personal information we maintain about you;
- receive information about the categories, sources, purposes, and recipients of personal information;
- correct inaccurate personal information;
- delete personal information, subject to exceptions;
- receive a portable copy of certain information;
- opt out of sale, sharing, or targeted advertising;
- limit certain uses or disclosures of sensitive personal information; and
- appeal a denial of a request and receive equal service and pricing without unlawful discrimination for exercising a privacy right.
Submit a request by emailing privacy@myupw.com. Please describe the request and provide enough information for us to reasonably verify your identity. We will use verification information only for verification and fraud-prevention purposes. Authorized agents may submit requests where permitted by law; we may require proof of authority and may ask the individual to verify identity directly.
Rights are subject to legal limitations and exceptions. For example, we may retain information needed to complete a transaction, comply with law, maintain security, exercise legal rights, or keep an opt-out suppression record. We will respond within the period required by applicable law and explain any denial and available appeal process.
California disclosures
California's Shine the Light law may allow a California customer to request certain information about disclosure of personal information to third parties for their own direct-marketing purposes. Submit such a request to privacy@myupw.com with “California Shine the Light Request” in the subject line.
11. Children’s privacy
The Services are intended for business and adult audiences and are not directed to children under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact privacy@myupw.com.
12. Third-party links and services
The Services may link to or integrate with third-party websites, social networks, payment services, maps, shipping tools, or other services. Their privacy practices are governed by their own policies. We are not responsible for third-party privacy or security practices.
13. Changes to this Policy
We may update this Policy periodically. We will post the revised Policy and change the “Last updated” date. If required by law, we will provide additional notice or obtain consent for material changes. We will review this Policy at least annually and update the disclosures as necessary.
